Bookkeeping for Amazon sellers

Amazon bookkeeping services for FBA and multi-channel sellers

Books that reconcile to the cent, closed on the same date every month, by an accountant who knows what a Seller Central settlement actually contains.

  • Closed by the 10th, every month
  • Reconciled to bank and to Seller Central
  • Fixed monthly fee

What Amazon bookkeeping has to get right

Bookkeeping for an Amazon seller is not harder than other bookkeeping because of volume. It is harder because the marketplace nets everything down before it pays you, and because your stock sits in warehouses you do not control.

01

Reconciled to two sources, not one

Most books are reconciled to the bank alone. For an Amazon seller that is not enough: the bank only shows the net deposit, so it will happily agree while the sales and fee figures behind it are wrong.

We reconcile to the bank and to Seller Central, so gross sales, refunds, each fee type and the reserve all tie back. If the two disagree, we find out why before the month closes.

02

Every fee type kept separate

Lumping Amazon charges into one "Amazon fees" expense hides the thing you most need to see. Fees behave differently and respond to different fixes.

Referral, fulfilment, storage, long-term storage, returns processing, removals and advertising each get their own line, so a change in one is visible immediately rather than absorbed into a total.

03

Inventory tracked as an asset

Stock paid for in March and sold in June is not a March expense. Treating it as one makes your profit swing wildly with your reorder schedule and makes every month unusable for decisions.

We hold inventory on the balance sheet at landed cost and release it to COGS as units sell, which is also what your CPA and any future lender or buyer will expect to see.

04

Refunds and reimbursements in the right period

Refunds arrive weeks after the original sale, and Amazon reimbursements for lost or damaged stock arrive later still, often without obvious reference to what they relate to.

We match them back rather than treating them as miscellaneous income, so your revenue and margin figures survive contact with reality.

Reconciled to the bank and to Seller Central

Most books are reconciled to the bank alone. For an Amazon seller that is not enough: the bank only ever shows the net deposit, so it will happily agree while the sales, fee and refund figures sitting behind it are wrong. We tie out both sides, and chase any difference before the month closes.

What the monthly close covers

A fixed scope, so you know exactly what lands and when.

  • Transaction coding — every sale, fee, refund and expense categorised to an agreed chart of accounts
  • Settlement splitting — payouts broken into components and cut across month ends
  • Bank reconciliation — every account tied out, including card and PayPal
  • Inventory and COGS entries — landed cost tracked and released as stock sells
  • Accounts payable and receivable — supplier bills and anything owed to you kept current
  • Prepayments and accruals — so each month carries its own costs rather than the previous one
  • Month-end close pack — P&L, balance sheet and cash flow issued on a fixed date
  • Clean year-end file — handed to your CPA without a scramble in April
  • Catch-up and clean-up — prior months rebuilt and corrected where needed
  • A named bookkeeper — reachable by email or WhatsApp, not a shared inbox

How working with us starts

Three steps, and the first one costs nothing.

Free 30-minute call

We look at how you sell, what state the books are in and what you actually need. If we are not the right fit we will say so on that call.

Setup and catch-up

We connect your channels, bank and accounting software, agree the chart of accounts, and bring any back months up to date so we start from something accurate.

Monthly rhythm

Your close lands on the same date every month, with the reporting your plan includes and a named accountant who already knows your account.

Clear monthly pricing

Three plans, no hourly billing. Larger or multi-entity brands are quoted individually.

What our clients say

★★★★★

Bexford made switching from my previous accountant completely painless. They handled everything and my tax return was filed ahead of schedule. Highly professional and always available.

James H.Freelance IT Consultant, Austin
★★★★★

The fixed monthly fee is great — I know exactly what I'm paying. The tax efficiency advice has already saved me more than the annual fee. I'd recommend Bexford to any growing small business.

Mohammed K.Sole Proprietor, E-commerce, Denver
★★★★★

I run a small architecture practice and Bexford handles everything — quarterly bookkeeping, annual accounts, owner compensation structuring. Wish I'd found them sooner. Absolutely five stars.

Amazon bookkeeping questions, answered

Bookkeeping records and reconciles every transaction so the numbers are accurate. Accounting takes those numbers and turns them into statements, tax positions and decisions. On Amazon the two overlap more than usual, because deciding how to treat a settlement or value inventory is an accounting judgement that has to be made before the bookkeeping can be right.
Monthly, on a fixed close date. Some sellers on higher volume prefer a mid-month checkpoint as well, which we can agree at the start. What we avoid is the pattern of touching the books once a year, where errors have compounded for eleven months before anyone looks.
Yes, usually. These tools map Amazon settlements into QuickBooks or Xero at the right level of detail instead of dumping a net deposit. We will set one up as part of onboarding if you do not already have it. Neither replaces the accounting judgement, but both remove a large amount of manual work.
Yes. The common problems are stock expensed on purchase, settlements posted as a single deposit, refunds double counted, and advertising sitting in the wrong period. We rebuild from the underlying records rather than patching the existing file, because a correction on top of a wrong base stays wrong.
Yes. Multi-channel sellers are normal for us: Amazon alongside Shopify, Walmart, TikTok Shop, Etsy, eBay and WooCommerce, consolidated into one set of accounts with profit visible by channel. We also handle sellers operating in more than one Amazon marketplace and currency.
Very little once set up. Read access to your channels and bank feed covers most of it. We will ask about anything unusual rather than guessing, and the questions tend to be few: a large supplier payment, an owner drawing, a new fee you have not seen before.
Bookkeeping sits in Plan 01 at $500 a month, which includes reconciliation, inventory and COGS tracking, monthly statements and a year-end file for your CPA. Sellers who also want profit by product and a monthly report pack move to Plan 02 at $1,250.
We work remotely with ecommerce sellers across the United States, on US hours. Accounts are prepared on a US basis and handed to a licensed CPA for anything requiring a signature and filing. If you would rather have an accountant physically local to you, say so on the call and we will tell you honestly whether we are the right fit.
