Management accounting & reporting

Management accounts and reporting for ecommerce brands

Bookkeeping tells you what happened. Management accounts tell you why, which products caused it, and what to do about it before next month looks the same.

  • Profit by SKU and channel
  • Budget vs actual every month
  • A call, not just a PDF

What a management report pack should answer

A P&L tells you that profit was $21,600. It does not tell you that two SKUs produced most of it, one lost money on every unit, and the dip in July was a Prime Day ad spend decision rather than a demand problem. That is the gap management accounting closes.

01

Profit by product, after everything

Gross margin by SKU is easy and usually misleading, because it stops before the costs that actually differ between products: fulfilment by size and weight, storage by how slowly it sells, returns, and advertising.

We report contribution per SKU after all of it. It is routine for the ranking to reorder completely once those costs are allocated, and for a bestseller to turn out to be the weakest product in the catalogue.

02

Profit by channel, compared fairly

Amazon and Shopify have different fee structures, different return rates and different acquisition costs. Comparing their revenue tells you nothing.

We put them side by side after each channel's own costs, which is what makes a stock allocation or a pricing decision defensible rather than instinctive.

03

Variance explained, not just shown

Budget versus actual with no narrative creates an argument rather than a decision. The number moved; the question is what moved it.

Every pack carries written commentary in plain English: what changed, what caused it, whether it repeats, and what we would do next month.

04

Trends over a period, not one month

A single month is noise. Seasonality, a Prime Day, a stockout or a supplier price change can all swing a month without telling you anything about the trajectory.

We report rolling trends so you can separate a genuine shift from a blip, and so a decision is taken on direction rather than on the most recent data point.

Variance shown is an argument. Variance explained is a decision.

Budget versus actual with no narrative just tells you a number moved. Every pack we send carries written commentary in plain English: what changed, what caused it, whether it is likely to repeat, and what we would do about it next month. Then a call to work through it rather than a PDF nobody opens.

What lands in your inbox each month

A consistent pack on a fixed date, followed by a call to go through it.

  • Management P&L — structured for decisions rather than for a tax return
  • Contribution by SKU — after fees, landed cost, fulfilment, storage, returns and ads
  • Channel performance — every marketplace and your own store compared after their own costs
  • KPI dashboard — margin, contribution, inventory turns, days of stock and cash runway
  • Budget vs actual — with variances explained line by line
  • Rolling trend analysis — the last twelve months, not just this one
  • Inventory reporting — what is tying up cash, what is ageing, what is about to run out
  • Written commentary — plain English, no jargon, with recommendations
  • Monthly review call — to work through the pack and agree actions
  • Board or lender pack — where you need to present to someone external

What our clients say

★★★★★

Bexford made switching from my previous accountant completely painless. They handled everything and my tax return was filed ahead of schedule. Highly professional and always available.

James H.Freelance IT Consultant, Austin
★★★★★

The fixed monthly fee is great — I know exactly what I'm paying. The tax efficiency advice has already saved me more than the annual fee. I'd recommend Bexford to any growing small business.

Mohammed K.Sole Proprietor, E-commerce, Denver
★★★★★

I run a small architecture practice and Bexford handles everything — quarterly bookkeeping, annual accounts, owner compensation structuring. Wish I'd found them sooner. Absolutely five stars.

Management accounts questions, answered

Financial statements are prepared to a standard format for tax and statutory purposes, after the year has finished. Management accounts are prepared monthly for you, structured however makes your decisions easiest, and they include things statutory accounts never would: profit by SKU, contribution by channel, inventory ageing, cash runway.
We start from the selling price and subtract every cost that varies with that product: landed cost per unit, marketplace referral fee, fulfilment fee by size and weight, storage based on how long it sits, returns and refunds at that product's actual rate, and advertising attributed to it. What is left is contribution, which is the money that product gives you toward overheads and profit.
Monthly, on a fixed date agreed at the start, usually within ten working days of month end. The date matters more than the speed: reporting that arrives at a predictable time gets used, and reporting that arrives whenever it is ready does not.
Both. The pack is issued first so you can read it, then a monthly review call to go through what changed and agree what to do. A report nobody talks through tends to get filed and forgotten.
Yes. We build it from your actual trading history and your reorder cycle rather than from a blank spreadsheet, so the first version is grounded in what your business actually does. It then gets revised as reality diverges, which it always does.
Not until the bookkeeping is fixed, and we would be straight with you about that. Management accounts built on unreliable books produce confident-looking numbers that are wrong, which is worse than no report. Where needed we clean up first, then start reporting.
It sits in Plan 02 at $1,250 a month, which includes the full report pack, profit by product and channel, KPI dashboard, budget versus actual and a monthly review call, on top of the bookkeeping in Plan 01.
Yes. Where you need to present externally we prepare the pack in a format suited to that audience and will join the meeting if it helps. Lenders in particular tend to ask for things, such as inventory ageing and cash forecasts, that standard accounts do not contain.
