Accounting for Shopify brands

Shopify accounting and bookkeeping services

Shopify Payments nets out fees, refunds and chargebacks before it pays you. We unpick every payout so your revenue, margin and ad returns are built on real numbers.

  • Payouts reconciled, not guessed
  • Blended and per-product margin
  • Works alongside Amazon

What Shopify brands need from their accounts

Shopify gives you a clean dashboard, which is exactly the problem. The dashboard shows gross sales and a conversion rate. It does not show what you kept, and sellers often discover the gap only when the bank balance stops agreeing with the story.

01

Payouts are netted before they arrive

Shopify Payments deducts processing fees, refunds and chargebacks, then pays a batch. Other gateways do the same on their own schedules, and the batch rarely matches a day or a month.

We reconcile each payout back to the orders inside it, so gross sales, discounts, shipping income, processing fees and refunds all sit in their own place and in the right period.

02

Discounts and shipping distort the top line

Sitewide discounts, free shipping thresholds and bundles all change what you actually keep per order, and none of it is visible in a revenue total.

We separate discount, shipping income and shipping cost, so you can see what a promotion really cost you rather than only that it lifted sales.

03

Customer acquisition sits against margin, not revenue

A 3x return on ad spend sounds healthy until you set it against a product with a 28% contribution margin after landed cost and shipping.

We report contribution by product so acquisition decisions are made against the money left over, which is the number that has to cover overheads and still leave a profit.

04

Multi-channel brands need one set of books

Most Shopify brands also sell on Amazon, and the two are usually accounted for separately, which makes them impossible to compare.

We consolidate every channel into one ledger with channel-level reporting, so you can see where a product earns more after all costs and put stock where it performs.

A 3x return on ad spend is not always good news

Acquisition is usually judged against revenue, which flatters it. Revenue does not pay for anything — contribution does. Set ad spend against what each product actually leaves behind after landed cost, shipping and processing, and the picture of which campaigns are working often changes completely.

What's included for Shopify sellers

The same monthly rhythm, built around how DTC brands actually operate.

  • Shopify payout reconciliation — every batch tied back to orders, fees, refunds and chargebacks
  • Gateway and processor handling — Shopify Payments, PayPal, Stripe, Klarna, Shop Pay and others
  • Discounts and shipping separated — promotions and delivery costs visible as their own lines
  • Inventory and landed cost — tracked per SKU and released to COGS on sale
  • Contribution margin by product — after every variable cost, not just COGS
  • Advertising measured against margin — ad spend set against what each product actually contributes
  • Returns and chargebacks — matched back to the original order and period
  • Subscription and recurring revenue — deferred correctly where you sell on subscription
  • Monthly statements and reporting — P&L, balance sheet, cash flow and KPIs
  • Amazon and marketplace consolidation — every channel in one set of accounts

How working with us starts

Setup and catch-up

We connect your channels, bank and accounting software, agree the chart of accounts, and bring any back months up to date so we start from something accurate.

Monthly rhythm

Your close lands on the same date every month, with the reporting your plan includes and a named accountant who already knows your account.

What our clients say

★★★★★

Bexford made switching from my previous accountant completely painless. They handled everything and my tax return was filed ahead of schedule. Highly professional and always available.

James H.Freelance IT Consultant, Austin
★★★★★

The fixed monthly fee is great — I know exactly what I'm paying. The tax efficiency advice has already saved me more than the annual fee. I'd recommend Bexford to any growing small business.

Mohammed K.Sole Proprietor, E-commerce, Denver
★★★★★

I run a small architecture practice and Bexford handles everything — quarterly bookkeeping, annual accounts, owner compensation structuring. Wish I'd found them sooner. Absolutely five stars.

Shopify accounting questions, answered

Because a payout is a net batch, not a day of trading. Shopify deducts processing fees, refunds and chargebacks, then pays what is left on its own schedule, which does not align to your sales dates or your month end. The fix is reconciling each payout back to the orders inside it rather than treating the deposit as revenue.
Yes. Most brands run more than one, and each settles differently. We reconcile each separately and bring them into one revenue picture, which also makes processing cost visible as a real percentage rather than a vague deduction.
Yes, and we would recommend it. Keeping them apart is the most common reason brands cannot answer where a product performs better. One ledger with channel-level reporting lets you compare contribution after each channel's own fee structure.
As their own lines, not as a reduction buried in revenue. A sitewide 20% discount and a free shipping threshold hit margin in different ways and need different decisions. Netting them into one revenue figure hides which promotion is actually working.
Yes. Where you sell subscriptions or prepaid bundles, revenue is recognised as it is delivered rather than when it is charged. Getting this wrong overstates revenue early and leaves a liability nobody is tracking.
This is the part marketplace facilitator rules do not cover. Sales through your own store are your responsibility, and economic nexus thresholds can create obligations in states you have never visited. We keep the data clean and work with a CPA or sales tax specialist on registrations and filings, and we will tell you if we think you have exposure.
Plans start at $500 a month for accounting and bookkeeping, $1,250 for management accounting including profit by product and channel, and $2,500 for CFO and forecasting support. Pricing does not change by platform.
Yes. We set up the chart of accounts, connect Shopify and your payment gateways, and configure the integration so orders and payouts map correctly instead of arriving as unexplained lump sums. If you are already set up but it is not reconciling, we will fix the mapping rather than start again.
